Volunteers Needed! We need the support of volunteers like you to make this show possible and we sincerely appreciate anything you can do to help. Every job is important, no matter how large or small. Your donation of time makes it possible for the drivers to show their horses and carriages at this event. With your help, we can help to keep this time-honored tradition alive! There are some perks that come with volunteering, so the more you volunteer, the more you get! Thank you very much for your help! VOLUNTEER CHAIRMAN: (pre-show and post-show): Works with Organizer, Secretary and/or Clerks of each phase to determine number of duties of volunteers. Makes initial contact with volunteer, follows up to confirm date, time, place, job. Writes and sends Thank You notes after the competition. VOLUNTEER CHAIRMAN (at the show) When and where to meet at the competition. Makes arrangement for lunches and beverages. Meets volunteers, provides coffee, donuts, nametags, equipment, lunch. THANK YOU Suellen Hall RINGMASTER: The Ringmaster, along with the Organizer, Secretary and Announcer, is a key figure in the smooth operation of the driving show. The Ringmaster should: Dress appropriately, as he represents the show management. Communicate commands from the judge to the announcer clearly, including test instructions, class placings, change of gait. If the PA system fails, the Ringmaster should give directions to the exhibitors, speaking loudly and clearly, repeating the direction in different directions so all will hear. Keep the judge informed of any delays. Help to protect the judge from exhibitors. Keep the class moving by directing exhibitors, i.e. when crossing the diagonal, performing individual tests. The Ringmaster should be able to render assistance, therefore it is important that he is knowledgeable in the area of horses, harness and carriages. The Ringmaster should alert problems or potential problems and help avoid them. Help contain a bad situation by diverting traffic or alerting the announcer or exhibitors or the judge. THANK YOU Geoff Gee, Malibu, CA RING STEWARD: Obstacles arena. The ring steward will be near the assembly area and calling out numbers and making sure that all entries are present (a voice that carries well is nice!). You will instruct the class when to enter the arena and guide them to the proper direction, assist in the line up and assist the Judge whenever required. These persons should be neatly dressed as this will be a highly visible position. It will be helpful if you know some of the drivers by sight.
CLERK OF MARATHON:
Oversees all
of the Marathon competition and, with the organizer and the Secretary, plans
the course design, the time schedules, and the volunteers needed. Should
be able to gather many capable helpers. Must be imaginative, physically
able to walk the course and build any obstacles and know the terrain.
Manages the design, preparation, measurement and marking of the course and the
obstacles (if any), or executes the plans of the course designer if there is
one. Sees that the marathon course markers are available in sufficient
number and are freshly painted and repaired. Calculates the Time Allowed
for each section, prepares the master Marathon Schedule, and ascertains what
volunteers are needed. Works with
assistants to enlist all volunteers, and confirm when and where they are
needed. Head Timer: Arranges for stopwatches and score
forms to be available, sets clocks, prepares clipboards with Secretary,
gathers and instructs volunteers as times, confirms all times and places,
arranges for distribution of lunches.
CHAIRMAN OF THE GROUNDS: Works well with all staff to prepare grounds and facilities for the competition, makes all arrangements for spectators during the competition, and supervises the clean-up of the grounds after the event. Puts of road signs for spectators, information signs on show grounds, and crowd control barriers if needed. Sets up seating, name signs, etc. for Patrons. Gets staff to collect tickets and parking fees, arranges locations and signs for parking by spectators and competitors. Arranges for trash barrels and removal, manure removal, and returning grounds to original condition. Supervises preparation and clean-up of stabling. Provides manpower and equipment for set-up and take-down of corrals, tents and any other related equipment. Assists Clerk of Marathon with preparation of course and Obstacles (if any) before the competition. AWARDS CHAIRMAN: This person (or persons) will handle all the organization of the ribbons, special awards and trophies for every class. They should be dressed appropriately. This is a very important position. THANK YOU Patti DeVault, CA AWARDS PRESENTER: This person can assist the awards chairman and will actually present the awards after each class to the recipients. This person should be familiar with horse behavior. BARN MANAGER: This person (or persons) will be in charge of assigning stalls and paddocks for the entries, labeling stalls, checking people and their horses in by directing them to their stalls and camping sites. Answer questions about water, wash rack, purchase of hay and pelleted shavings and disposal of manure. CLERK OF CONES: Responsible for the obstacle driving competitions. Must have technical knowledge of the rules, and a good sense of showmanship and design to make the final phase exciting for spectators. Assembles the equipment needed, sees that it is freshly repaired and painted, and prepares the site. Plans decorations. Designs and builds the obstacle driving course. Measures the course, and calculates the time allowed. Prepares course diagrams for competitors. Assembles the cones measurers, instructs them, and confirms the time and place they are needed. Has competitors' vehicles measured, and prepares list of measurements for announcer and judge. Assists Secretary with arrangements for presentation of awards. CHECK IN GREETER: This person will be at the entrance of the facility and direct people to the barn area and secretary’s office on Friday beginning at Noon until sundown. ENTRANCE GATE MAIN ARENA: This person will be opening and closing the gate for classes at the main indoor arena. EXIT GATE PERSON MAIN ARENA: This person will be opening and closing the EXIT gate at the West end of the Main arena. This person should be dressed appropriately. ENTRANCE GATE PERSON OBSTACLES ARENA AND PACE MARATHON: This person will be opening and closing the EXIT gate at the West end of the Main arena. This person should be dressed appropriately. EXIT GATE PERSON OBSTACLES ARENA: This person will be opening and closing the gate for incoming and outgoing turnouts. There will be two-way traffic here, so caution and management will be necessary. JANITORIAL: One or two people (a man and a woman would really be nice!) who will take charge of the permanent restrooms and porta-potties making sure they are clean and well stocked with supplies for the entire weekend. THANK YOU to the Pleasure Days Show Staff PLANT CARE: Someone to water the potted flowers twice a day from Friday through Sunday afternoon. HOSPITALITY CHAIRMAN: Plans all hospitality for competitors and officials. Contracts with equipment rental suppliers and arranges time, place, cost, etc. Arranges hospitality, and all meals and refreshments for officials during the competition. Arranges lunches for all judges, and timers during the Pleasure Marathons. SERVERS AND ASSISTANTS FOR THE PLEASURE MARATHON: We will need a few nicely dressed people for both of the Pleasure marathons. One person may enough for the Pace Marathon and about three or four for the Pleasure Marathon Turnout as spotters and guides. We will need food servers in the Valley at the halfway point for that class. COMMUNICATIONS CHAIRMAN: Provides and supervises personnel and equipment for communication throughout the event. Arranges for loudspeaker system and announcer for all phases. Obtains, instructs, and confirms places and time for any outside the main ring communication. Provides walkie-talkie systems between judges, Secretary, and announcer for all three phases. TREASURER: Works with Secretary to receive and tabulate entry fees, contributions, and advertising fees. Pays officials and sub-contractors. Prepares budget and final accounting. ORGANIZER:
